Privacy policy
How RoomSpec handles personal data on this website and in the free tools. Last updated [Effective date].
In short
- We only collect your email address if you join the waitlist or contact us, plus any optional survey answers you choose to give.
- The free tools run in your browser. What you type, and any clap test recording, stays on your device and is never sent to us.
- We don’t use advertising or tracking cookies, and we never sell your data.
Who we are
RoomSpec is run by AV Designer Studio, [Registered address]. We’re the controller of the personal data described in this policy. For anything about your data, email hello@avdesignerstudio.com.
What we collect and why
If you join the waitlist
We collect your work email address so we can tell you about RoomSpec’s launch, early access and the founding-member offer. We do this with your consent, which you give when you join. Every email has an unsubscribe link, or you can email us and we’ll remove you.
The waitlist form is run by Tally, on Tally’s own site. When you join from our page, your browser takes your email address to Tally’s form, along with which part of our page you joined from.
We keep your address until you unsubscribe, or for 12 months after RoomSpec launches if you don’t sign up, whichever comes first.
If you answer our survey
After you join, we ask some optional questions: your role, the size of your company, how many rooms you design, how you design them today, which features matter to you, and what you think RoomSpec should cost. We use the answers to shape the product and set its price, with your consent, which you give by answering. Skip any question you like.
We look at the answers in total and by group, such as by role or company size, and never publish anyone’s individual answers. We keep them with your email address for as long as we keep you on the waitlist. After that we delete them, or keep only anonymous totals.
If you email us
We use your name, email address and what you tell us to reply and deal with your question. Our lawful basis is our legitimate interest in answering people who contact us. We keep the conversation for up to two years after we last hear from you.
When you use the free tools
The calculators run entirely in your browser. The measurements and settings you enter aren’t sent to us or anyone else.
Clap test. If you allow microphone access in the room acoustics calculator, your browser records about four seconds of sound, works out the reverberation time on your device, and then discards the recording. A recording you upload is analysed the same way and never leaves your device.
Your units setting. If you switch between metric and imperial, your browser remembers the choice in its local storage so the next page uses it. It isn’t sent to us, and you can clear it in your browser settings. It’s only used to give you the setting you asked for, so we don’t ask for consent for it.
When you visit any page
Our hosting provider, Cloudflare, records technical details of each request, such as your IP address, browser type, the page requested and the time. This is needed to deliver the site and keep it secure, which is our legitimate interest. These logs are kept for up to 30 days, unless we need them longer to investigate a security problem.
Cookies
We don’t set any cookies. The only thing stored in your browser is the units setting described above. If we ever add analytics, we’ll update this policy first and ask for your consent where the law requires it.
Who we share data with
We only share personal data with service providers who process it for us under contract: our hosting provider (Cloudflare) and Tally, a Belgian company, which runs the waitlist and survey forms and stores responses in the EU. Fonts, styles and scripts on our pages all come from our own site, so no company other than our hosting provider sees your visit. The waitlist form opens on Tally’s site, where Tally’s privacy policy also applies.
We don’t sell your data or share it for advertising. We’ll disclose it to others only if the law requires us to.
Transfers outside Europe
Some of our providers may process data outside the European Economic Area or the UK. When they do, the transfer is covered by an adequacy decision, such as the EU-US Data Privacy Framework, or by standard contractual clauses approved by the European Commission.
Your rights
You can ask us to:
- give you a copy of your personal data;
- correct it;
- delete it;
- restrict how we use it;
- send it to you or another organisation in a portable format.
You can also object to us using your data based on our legitimate interests, and withdraw your consent at any time. Withdrawing consent doesn’t affect anything we did before you withdrew it.
Email hello@avdesignerstudio.com to use any of these rights. We’ll reply within one month.
If you’re unhappy with how we’ve handled your data, please tell us first so we can try to put it right. You also have the right to complain to the Data Protection Commission in Ireland, the Information Commissioner’s Office in the UK, or the data protection authority where you live.
Security
The site is served over an encrypted connection (HTTPS), and only the people who need access to personal data to run RoomSpec have it.
Children
RoomSpec is for professionals. It isn’t aimed at children, and we don’t knowingly collect data from anyone under 16.
Changes to this policy
When we change this policy, we’ll update the date at the top. If a change significantly affects how we use your data, we’ll email the people on the waitlist before it takes effect. When RoomSpec accounts launch, we’ll update this policy to cover them before anyone can sign up.
